The Role:

Here’s your updated and synthesized job responsibilities including the new office management tasks:

Billing & Account Management
  1. Customer Onboarding & Registration – Create and verify customer accounts, assign subscription plans, and ensure accurate setup for billing.
  2. Recurring Billing Setup – Configure automated billing cycles, tax compliance, and invoice generation while managing payment methods securely.
  3. Billing Adjustments & Variations – Implement upsells, downsells, prorated billing, and annual price adjustments.
  4. Dispute Resolution & Credits – Address billing discrepancies, process refunds, and issue credits as needed.
  5. Account Cancellations – Handle cancellations, process refunds if applicable, and send final confirmations.
Collections & Legal Escalations
  1. Unpaid Claims Management – Monitor overdue invoices, follow up with customers, and coordinate collection efforts.
  2. Legal Escalation – Transfer unresolved claims to the legal department, ensuring complete documentation and support.
Office & Facilities Management
  1. Office Supplies Oversight – Conduct bi-weekly stock checks for office, kitchen, and bathroom supplies, including Amazon vouchers for SDRs.
  2. Happy Breaks & Events – Organize weekly happy breaks and plan team events (e.g., Christmas dinner), managing venues, attendance, and team communication.
  3. Office Maintenance – Coordinate with service providers (water, fruit, cleaning, fire extinguisher company, etc.), handle incidents, office breakdowns, and manage employee access mechanisms/cards.
  4. IT Supplies Management – Communicate IT equipment needs (e.g., headsets, chargers, adapters) and ensure timely procurement.
Requirements
  • Higher Education in Accounting & Finance, BSc/BA in Business Administration or other relevant fields.
  • English and Spanish language mandatory.
  • Good problem solving skills.
  • Proactive and excellent team player.
  • Strong analytical abilities.
  • Ability to work under pressure.
  • Strong methodical and organizational skills.
