As our Office Manager, you will play a pivotal role in the smooth operation of our office, ensuring that everything runs seamlessly behind the scenes. You'll be the go-to person for both employees and leadership, fostering a positive work environment and helping drive our company culture.

Key responsibilities
Administrative Management
  • Oversee and coordinate daily office operations, ensuring efficient and uninterrupted functioning.
  • Manage the office budget, including expense monitoring and procurement of necessary supplies.
  • Organize and maintain company records, both physical and digital, ensuring their accessibility and security.
  • Coordinate facility maintenance and equipment repairs, ensuring an optimal work environment.
Staff Supervision
  • Supervise support staff, including receptionists, administrative assistants, and cleaning personnel, ensuring they fulfill their duties.
  • Coordinate team activities to maximize efficiency and productivity, fostering a collaborative work environment.
  • Conduct performance evaluations, providing constructive feedback and support for professional development.
Coordination and Communication
  • Act as a liaison between senior management and employees, ensuring clear and effective communication throughout the organization.
  • Organize meetings, internal and external events, as well as training activities, ensuring proper planning and execution.
  • Manage office correspondence and external communications, maintaining professional relationships with third parties.
Policy and Procedure Compliance
  • Ensure the implementation and compliance of corporate policies within the office, aligning with best practices and current regulations.
  • Develop and update procedure manuals, guides, and policies as needed by the company.
  • Ensure compliance with legal and safety regulations, maintaining a secure and compliant work environment.
Executive Support
  • Provide administrative support to senior management, including the preparation of reports, presentations, and other relevant documents.
  • Manage schedules, organize travel arrangements, and prepare itineraries for executives and team members.
Human Resources Support
  • Serve as the initial point of contact for new hires, ensuring a positive onboarding experience.
  • Organize and coordinate the delivery of materials and resources to the team.
  • Introduce new employees to the office facilities and assist with onboarding and offboarding processes.
  • Assist in drafting and updating the employee handbook.

Requirements:

Languages

  • Spanish (mandatory)
  • Any other language is a plus.
